Your Questions About Wallxy, Answered: Storage, Pricing, Permissions & More

Summary

Storage limits, real pricing, multi-company permissions, drawing approvals, and WhatsApp integration — every question we get asked before a firm signs up, answered in one place.

Every week we get the same handful of calls. A studio owner wants to know if 12 GB is actually enough for a real project. A contractor wants to know who can approve a drawing once three companies are working on the same site. A firm on Monday.com or a spreadsheet wants to know what happens to their existing projects if they move over.

So instead of scattering the answers across a pricing page, a help article, and a support chat, we put everything into one guide. If you're evaluating Wallxy for your firm, start here.

How Much Storage Do You Actually Get?

Storage is the first thing every architecture or construction firm asks about, and for good reason — a single project's drawing set, with revisions, can run into gigabytes before you've added site photos, 3D renders, or PDF exports. Generic project management tools were built for people attaching a spreadsheet or a screenshot, not a 180 MB AutoCAD file, so their storage tiers look generous on paper and run out fast in practice.

Go

Pro

The jump from Free to Go isn't incremental — it's designed around the reality that once you're running paid projects, your storage needs scale by an order of magnitude, not a small percentage. File transfer limits (how much you can move in and out per month) are separate from total storage, so a project with heavy daily uploads doesn't quietly eat into your storage cap.

What happens when you hit the limit? You're not locked out or forced to delete anything. You can buy a storage add-on directly at checkout, or move up a plan, and your existing files stay exactly where they are.

Where do files actually live? Media, drawings, and previews are served through a CDN built for large file delivery (Bunny CDN and Cloudinary), so opening a drawing or scrolling a project gallery stays fast even over a site's patchy 4G connection — not just on office Wi-Fi.

What Does Wallxy Actually Cost?

Pricing pages are often the least trustworthy page on a SaaS site, so here are the real numbers, inclusive of GST.

The Free plan isn't a crippled trial — it's built for solo professionals and small studios to run real projects with no credit card required. Go is where most growing studios land, once they're managing multiple concurrent projects with an outside team. Pro is for firms coordinating several companies across many active sites at once, where enquiry volume and QuickShare usage stop being predictable.

If you outgrow Pro's caps entirely — more than 25 simultaneous projects, larger teams, custom storage — that's what the Business plan exists for, priced around your firm's actual scale rather than a fixed tier.

Extra seats or storage without a full upgrade? Both are available as add-ons directly at checkout on Go and Pro, so a firm that needs 27 team members instead of 25 doesn't have to jump tiers just for two extra seats.

How Do Permissions Work Across Multiple Companies?

This is the part generic project management tools consistently get wrong, because they're designed around a single team working on a single board. Construction projects almost never look like that. A typical project in India involves an architecture firm, a structural consultant, an MEP contractor, a civil contractor, an interior designer, and the client — six separate organisations, each of whom should see and touch only their own scope of work.

Wallxy's permission model is built around a role hierarchy, evaluated per project:

  • Project owner — the company that owns the project. Full control, including the only role that can change which company is assigned to a task.

  • Assigned company admin — an admin of a company assigned to specific work within the project. Can assign or reassign users within their own company's scope.

  • Project team member — works within their assigned scope on the project.

  • Associate company member — a member of a company brought onto the project by someone other than the owner.

  • Viewer — read-only access.

The detail that matters most in practice: permissions are computed per project, not per person. If you own Firm A but you're also a team member on Firm B's project, Wallxy doesn't ask "who is this person" — it asks "what is this person's role on this specific project." You get the correct, separate permission set in each context, automatically. That sounds like a small technical detail, but it's exactly the gap that lets people either over-share client and contractor data, or get stuck rebuilding rigid, brittle board structures every time a project's team changes.

Who can approve a drawing? Only the project owner can move a task through review states — Under Review, Approved, Revision Required. Uploading and assigning work are separate, scoped permissions, so a contractor can submit a drawing for review without ever being able to approve their own submission.

How Are Drawings and Approvals Tracked?

In architecture and construction, a drawing isn't just a file attached to a task — it's a formal document with contractual weight. A revision that hasn't been through approval is not interchangeable with one that has, and most firms end up tracking that distinction manually, in a text field, in an email thread, or in someone's memory.

Wallxy's drawing review lanes make that a native workflow instead of a manual one. Drawings move through defined states, only the correct role can approve or request a revision, and every version is preserved with full history — so if a dispute ever comes up about which version was actually approved and when, the record already exists.

The broader task flow across a project follows a similarly explicit path: To Do → In Progress → Review → Completed, with review-lane transitions restricted to the project owner throughout.

How Does the WhatsApp Integration Work?

In India, construction runs on WhatsApp — site supervisors, vendors, and subcontractors coordinate there daily, and no amount of "everyone should use our app instead" changes that on the ground. So rather than competing with WhatsApp, Wallxy integrates with it.

You connect a WhatsApp group to a project once, using a one-time link code generated from the Collaborators tab. After that, drawings and project updates can be sent directly into that group with a click — nobody on-site needs to download a new app or check a separate dashboard to see the latest revision.

WhatsApp integration isn't included on the Free plan. Go includes the standard version; Pro includes the advanced version, aimed at firms coordinating updates across several groups and companies at once.

Switching to Wallxy: What Happens to Your Existing Work?

Firms evaluating a move from spreadsheets, WhatsApp-only coordination, or a generic tool usually want to know if switching means starting from zero. It doesn't — Wallxy supports bringing over your existing projects, tasks, files, and team members as part of onboarding, so your history and structure carry forward rather than getting rebuilt from scratch.

Frequently Asked Questions

Is Wallxy only for large construction firms?
No. The Free plan is built for solo professionals and small studios running real projects with no credit card required. Go and Pro scale up to firms managing up to 25 team members and 25 simultaneous projects.

Can I add more team members than my plan allows?
Yes — extra seat add-ons are available at checkout on Go and Pro without needing to upgrade the whole plan.

What happens if I exceed my project or storage limit?
You can buy a seat or storage add-on directly at checkout, or upgrade to the next plan at any time. Nothing is deleted or locked.

Does Wallxy replace WhatsApp?
No — it works alongside it. Project updates and files push directly into your existing WhatsApp groups instead of asking your team or vendors to switch platforms.

Can I import my existing projects when I switch to Wallxy?
Yes. Projects, tasks, files, and team members can all be brought over as part of onboarding.

What's the difference between a "project owner" and an "assigned company admin"?
The project owner is the company that owns the project and holds full control, including drawing approvals. An assigned company admin manages their own company's team and assignments within the scope of work assigned to them — they can't reassign work to a different company or approve drawings outside their scope.

What if my firm outgrows the Pro plan?
The Business plan offers custom limits — projects, team size, and storage — priced around your firm's actual scale.
